09H30-10H10: Introduction – The importance of adopting good financial management practices. Commission Policy; Recent improvements; Review of key documents & guides; Key issues for the financial manager.
10H10-10H50: Which costs are eligible and how to avoid making mistakes? Consideration of those areas of eligible costs that give rise to problems for the project – accounting for personnel; subcontracting; third party costs; travel and subsistence; equipment; project income. Which costs do the auditors tend to focus on?
10H50-11H10: Coffee Break
11H10-11H50: Which Indirect cost model? What options are available for different types of organisations and what are the financial consequences of the choice? Where do most projects experience problems especially in the event of audit?
11H50-12H20: Good practice in record keeping and management procedures. What project records should be kept and for how long? How can the project avoid mistakes occurring or losing key documents? What procedures and management processes should be put in place to ensure that the project is managed in accordance with the principles of sound, financial management?

14H15-15H00: How to avoid problems in financial reporting. What are the key issues and how does the project ensure that the financial report meets the Commission requirements. How to write the management report. What are the common mistakes that are made that may result in further scrutiny by the Commission services or even an audit being requested?
15H00-15H15: Break
15H15-16H00: How to prepare for financial audits by the European commission. Practical advice and suggestions on how to deal with the preparation for the audit including fixing the date; staff who should be present and the documents to prepare. This presentation will also look in detail at how to respond to the pre-audit questions posed by the auditors and what checks need to be carried out by the project in advance.
16H00-16H40: Dealing with the consequences of the audit. Dealing with the follow-up requests for information from the auditors. Reviewing the draft audit report and preparing responses to issues raised. How to deal with extrapolation and claims for liquidated damages.
16H40-17H00: Conclusions and review of the day (summing up the key lessons learnt by case study example).
